Administrative Manager
Position Description

Public Architecture, a 501(c)(3) nonprofit organization based in San Francisco, is seeking an Administrative Manager to join its growing staff of six. The leading national advocate for pro bono and public-interest design, Public Architecture mobilizes architects and designers to strengthen their communities through quality design.

The Administrative Manager will be joining a unique organization comprised of design industry leaders who have chosen to use their skills and passions to serve traditionally overlooked or underserved populations—and are inspiring others to do the same. This position will support this work by developing and maintaining Public Architecture’s office systems during a period of organizational growth.

Public Architecture seeks a sharp, self-directed candidate who can manage these responsibilities, work well balancing multiple deadlines and responsibilities, and provide support for our outreach efforts.

Required Experience & Skills
• Undergraduate degree along with 3-8 years of professional experience; • Outstanding organizational, administrative, and analytical skills, with attention to detail;
• Exceptional written skills and oral communication;
• Self-starter who assumes hands-on responsibility where necessary, is able to balance competing priorities and deadlines, and who demonstrates sound judgment and good problem solving skills;
• Computer literacy in a PC/Windows environment, including MS Word, Excel, and PowerPoint (Adobe InDesign and Photoshop as well as Salesforce, Quickbooks, Final Cut and HTML experience a plus) and;
• Prior experience creating or managing a database and other operational systems highly desired.

Core Responsibilities

Systems Development
• Administer Public Architecture’s office volunteer program
• Manage Public Architecture’s organizational calendar
• Upkeep database and develop new business processes for Salesforce
• Develop office protocols and resources as needed

Administrative Support
• Provide general administrative and communications support
• Maintain physical office space, office equipment and supplies
• Upkeep online and physical filing system
• Process donations, acknowledgments and reimbursements
• Coordinate Public Architecture’s annual appeal
• Manage logistics and prepare materials for Board Meetings and Annual Board Retreat
• Provide executive assistant support, including scheduling, travel, meeting and correspondence support for senior staff
• Respond to general inquiries

Press / Communications
• Provide support for presentations and exhibitions
• Coordinate Public Architecture occasional events & office visits
• Update Public Architecture’s websites and respond to general inquiries
• Support Public Architecture’s marketing efforts and award submissions
• Manage Public Architecture’s social media efforts
• Provide editorial support for publications and newsletter

Compensation: Includes salary and benefits in line with experience and qualifications.

Location: South of Market, San Francisco, CA
Office located on the fourth floor of a refurbished warehouse with views of the city. We are located 4 blocks from Civic Center BART and close to many MUNI bus and train lines.
